Job Description

Medlines HR team has an exciting new opportunity for a Manager, Leave Administration based at our corporate headquarters in Northfield, IL. The Manager is responsible for our end-to-end absence management and leave accommodation program to include program design and administration, with a focus on employee experience, accurate pay, compliance and continuous improvement. Major responsibilities:
Manage all aspects of leaves of absence (LOAs) and accommodations for US employees, including medical and family leaves, short-term and long-term disability, unpaid and military leaves.
Oversee complex escalated employee issues and appeals; provide recommendations to Benefits leaders and Legal.
Develop and implement streamlined leave platforms, processes and procedures to achieve optimal employee experience; perform regular end-to-end operational assessments.
Provide ongoing plan management including evaluation of program performance and trends. Develop, generate and present reports to analyze disability, leave and accommodation trends. Identify trends in reasons for leave and propose strategies to reduce the need for leave or promote a more efficient transition back to work.
Evaluate cost and competitive market placement for leave/disability programs.
Maintain current subject matter expertise of federal, state and municipal leave laws and regulations as well as Medline policies. Monitor changes in divisional policies that may affect the delivery of leave and disability administration. Propose revisions to internal documents, policies and communications as necessary to ensure company compliance.
Oversee system status changes, including terminations for employees on leave.
Assist with ongoing vendor analysis, selection, negotiation and procurement. Ensure vendors are meeting contractual service level requirements and performance guarantees.
Design educational material and tool kits to assist employees, HR and management with absence management, disability and accommodations.
Collaborate with various groups:
o HRBPs and Legal: implementing process changes, legal updates and transitions to ADA
o EHS: workers compensation and ergonomic issues
o IS/HRIS: vendor integrations and interfaces for accurate data recording and reporting
o Payroll: accurate pay and applicable deductions for employees on leave and statutory filings
o Vendors: oversight/direction of direct billings and payments for benefit continuation during unpaid leaves
Management responsibilities include:
o Typically, manages through multiple Managers and/or Supervisors
o Oversee major projects/programs/outcomes;
o Budget responsibility;
o Interpret and execute policies for departments/projects and develops;
o Recommend and implement new policies or modifications to existing policies;
o Provide general guidelines and parameters for staff functioning;
o Hiring staff, recommending pay increases, performing performance reviews, training and development of staff, estimating personnel needs, assigning work, meeting completion dates, interpreting and ensuring consistent application of organizational policies.

Job Qualifications
Basic qualifications:
Bachelors Degree.
At least 5 years experience in leave/LOA management to include experience with:
o STD and LTD plans,
o FMLA and similar state and local programs and policies,
o Military leaves, parental leaves, COBRA, HIPAA, ADA/ADAAA
o Workers compensation and life benefits as it relates to integrating with leave and disability.
Experience applying regulatory and legislative knowledge of FMLA and other state and local statutory leaves and other appropriate compliance requirements.
Experience applying knowledge of disability concepts, disability plans, medical terminology, claim management practices and principles, reasonable accommodations and return to work practices.
Experience implementing and managing vendors.
Project management experience with emphasis on process redesign.
Intermediate level skill in Microsoft Word (for example, inserting headers, page breaks, page numbers and tables and/or adjusting table columns).
Advanced level skill in Microsoft Excel (for example, using AVERAGE function, merging and centering cells, printing centered page and/or creating a pivot table).
Position requires maintaining confidentiality of sensitive information.
Certified Employee Benefit Specialist (CEBS) or Certified Benefits Professional (CBP) preferred
Benefit administration experience in a corporate environment preferred
Experience managing people, providing work direction and developing a high performing team preferred
Experience with outsourced absence management programs preferred
PeopleSoft experience preferred
Administration of outsourced benefit programs with Aon, Hewitt or Alight preferred
Bilingual/Spanish (read/write/speak) preferred
