Summary:
Manages accounts payable (AP) team in processing vendor, provider, employee and all other AP activities including maintaining records of amounts owed, verifying invoices and payments, coding expenses and preparing batches for payment. Responsible for timely processing of payments, the month-end close of AP including determining accruals and compliance with state and local tax reporting. Prepares and/or reviews AP account reconciliations and journal entries. Maintains accurate and complete vendor, provider, and employee records. Serves as a liaison between the AP department and internal/external parties.

Essential Duties and Responsibilities:
Manages the AP team on all daily/weekly/monthly activities
Increases department efficiency, manages staff productivity and provides strong leadership to the AP department
Ensure disbursements and expense reimbursements are made in compliance with policies and procedures including three-way match has been performed, properly authorized and substantiated
Ensure disbursements are proper, correctly coded, made timely including Corporate Cards and P-cards
Oversee the release of funds both via paper checks and electronically
Responsible for purchase order review
Responsible for monitoring blanket purchase order balances to ensure funding is available
Responsible for determining accruals and preparation of accrual entries
Responsible for preparing 1099 tax forms
Provides superior customer service in advising vendors, providers, department heads, directors, and others on all matters related to disbursements and invoice and payment requests
Monitors vendor database to ensure vendor, provider, and employee data is accurate
Responsible for hiring, training, coaching, writing performance evaluations
Documents and maintains AP process workflow documents
Makes recommendations to improve payment process
Reviews AP-related financial statements and provides variance analysis for expense accounts
Ensures compliance of state and local tax reporting, including but not limited to, property tax filings, sales and use tax filings, and annual reports
Other assignments, as assigned


Competencies:
Good time management, management, verbal/written communication and interpersonal skills
Good analytical, planning, and problem solving skills
Knowledge of advanced Excel and other MS Office products
Extensive knowledge of Accounts Payable procedures
Comprehensive knowledge of generally accepted accounting principles and procedures
Knowledge of State and local regulations with regard to accounts payable


Education and/or Experience: (includes certificate & licenses)
Bachelors degree from an accredited college in accounting or a related discipline, or equivalent experience/combined education.
Minimum 10 years of management experience in accounts payable
Experience in Sage 100 and Expense Management System, a plus
